With Zoho Cliq's latest admin features, we're giving you the tools needed to make your workday smoother and more productive.

Let's explore how our latest features will help with better, more granular controls. It all begins with what’s on every admin’s mind: data protection.

1. Safeguard critical information shared in your organization

Protecting sensitive information is a priority for everyone. With the data loss prevention (DLP) functionality, you can now enforce policies that automatically identify and block over 100 information types from being shared in chats. This includes data like credit card details, national ID card content, and any other personal identifiers. As a result, everyone is protected from accidental sharing, and employees can focus on their work without worrying about security risks.

You also have the flexibility to create custom information types, which give you the power to protect that data that matters most to your organization.


With DLP, you'll be able to configure specific actions when sensitive data is detected in chat messages:

  • Block the message completely.

  • Block the message until it passes admin approval.

  • Block the message but allow the user to override the block.

  • Send the message and audit the sensitive data.

Monitor and manage DLP alerts through a dedicated dashboard, which provides insights into potential data breaches and allows administrators to take appropriate action.

With DLP enforced, you can relax knowing that Cliq is working behind the scenes to safeguard your people's information.

 

2. Optimize your file storage

We’ve all been there: files piling up in chats, occupying storage space and making it harder to find what’s important.

In every organization, there comes a time when files become less useful. Instead of asking users to clean up those files, you can remove obsolete data that's taking up Cliq's storage space.

This feature is especially handy if you're in Cliq's free plan, or in another plan that has greater storage limitations.



You can also filter specific file types, such as recordings, videos, PDFs, and images. Before doing so, a policy will notify users about the organization admin's access to files to ensure transparency. Clean up redundant files, open up more space, and keep your workspace organized.
 

3. Easily onboard users into teams

As organizations and teams grow and evolve, managing user assignments can become tedious.

Effortlessly import a set of existing users from one Cliq team to another with our new bulk import feature. This streamlined process allows for seamless transition of large groups into the desired teams, making it incredibly convenient when you need to reorganize your workforce or adapt to structural changes within your organization.



Simply upload a CSV file with the list of users, decide which teams to associate them with, and you're done. You'll save time by eliminating a boatload of repetitive effort.


 

4. Configure default channels and bots  

As an organization admin, you now have a way to ensure that important messages and announcements reach everyone.

Default channels and bots make this easy for you. When a channel or bot is set as default, new members are automatically added to those channels and subscribed to relevant bots when they join the organization or team.

You can set a default channel or bot by going to the admin panel, navigating to the configurations, and selecting the appropriate channel and bot to mark as the default.

Team admins can do the same by heading to the teams section under organization and designating a team channel and bot as the default. This keeps all members subscribed to essential notifications.

With default channels and bots, fostering collaboration and inclusivity is simpler than ever.

5. Search and locate modules in a blink

Cliq's admin panel offers a comprehensive set of controls. While the wealth of options is beneficial, it may occasionally make it difficult to locate the exact feature you need.

Now, you can swiftly find the precise module you're looking for using the search function. Plus, it gives you easy access to modules you've previously visited through the "recent searches" list.



You'll also be able to invoke the search option through "Command + K" in macOS, and "Ctrl +  K" in Windows and Linux.

6. Export detailed usage reports

With usage reports, you'll see how employees are using Cliq. Once you have a solid understanding of their habits, you can help them fine-tune configurations and make informed decisions.

There's great flexibility in the level of detail you can get from reports. Opt for a bird's-eye view of the data or go deeper, depending on your goals.



With our latest enhancement, you can now export the entire report or specific sections of a usage report. This option proves especially useful when you need to export reports for regulatory compliance, auditing, or archival purposes.

 

7. Limit access specific to devices

Security doesn’t stop with protecting data in chats—it extends to how you access the platform itself.

Have you wondered about the risks of employees accessing workplace apps on unsecured public networks? A significant portion of data theft happens when employees use these types of connections. Cybercriminals often target public Wi-Fi and easily intercept sensitive information transmitted over these networks.



While the ability to restrict IPs has always been available, we've added some additional functionalities!

You can now restrict access based on device type (mobile, web, Android, iOS, and TV), and even restrict access to Rooms devices so they're only accessible from a specific IP address. This gives you greater control over how and from where the platform is accessed.

This feature ensures that sensitive conversations remain safe and private, whether your people are working from home, in the office, or on the go.
